Every Procedure Must Be Systematized To Be Effective And Long-Lasting… Its The Only Way.

The more procedures that can be systematized, done the same way over and over from year to year and from employee to employee, the greater your opportunity to control the quality of the procedures and ultimately the success of your business.

This applies to every imaginable series of repetitive actions with the purpose of reaching the same goal such as:

1. Making deposits

2. Opening new client accounts

3. Handling the mail

4. Sales procedures

5. Production procedures

6. Shipping and receiving procedures

7. Answering the phone, taking messages

8. Handling complaints, returns, issues

9. Training procedures

And on and on the list goes. You get the point.

It further allows you to control and evaluate costs. It makes training the next employee much easier, as oral legacy is not the best way to maintain continuity. We all know that with oral legacy, each person adds his own spin, likes and dislikes and thus the action changes over the years, yet frequently, no one notices it until someone complains or something is not right. The system fails.

Systematized procedures provide control over the work process, making certain that the business is run and handled as you, the owner, deem appropriate and most effective. It supports cross-training, where every employee knows how to do other tasks so when someone is out, there is always someone else to take over. What a great idea—systems support. It’s only possible if totally systematized. By systematizing everything you can identify bottlenecks and breakdowns and make adjustments by fixing the system at the point of breakdown.

Key data, benchmarks, key indicators are tied to systematic operations so they can be measured and compared over time to determine trends and variations.This cannot be done as easily or accurately if there are no consistent and repetitive procedures or systems in place. When it comes time to sell the company, the book of procedures is a guide map for the buyer and creates great confidence and support for a sale. It demonstrates care and control. In a growth or a downsize trend, systems allow a closer evaluation and control for safer growth or for downsizing.

Never hear, “I didn’t know that!” again. Now that’s a blessing worth fighting for in and of itself! Systems undo the secrets, prevent power shifts to those who know.

Do it. Create procedural systems for every aspect of your business; there are far too many benefits from systematizing and the only excuse not to do it is laziness. Put it all in writing, together in a binder, and finally own and control the operation of your company. Now it will all be done the way you want.
