QuickBooks Can Be The Answer To Your Accounting Issues

QuickBooks is a terrific program. In my opinion, it’s a must-have for all small businesses. Yes, it requires some training, it feels a little cumbersome learning how to make the required entries, but once understood it can become the backbone of your basic accounting system. It can do most anything you need, from creating invoices to writing checks, even doing your payroll. It’s like an accountant-in-a-box and most anyone can master its basics and begin to run a business more effectively and accurately as it gives you vital information with a click of a button. The program comes with a tutorial, there are seminars to take and there are educators all over the country willing to train one-on-one. Better still, it has Internet capabilities that allow you to access your accounting system from anywhere you have an Internet connection, even while vacationing on the beach.

Beyond handling your transactions, it provides you with valuable information. It gives you wonderful reports easily and accurately, like accounts receivable, accounts payable, balance sheets, profit and loss statements, all by the account, by the week, by the year-to-date and by the job. Far too many business owners wait until they have their tax returns done before they know what they earned and if they operated profitably in the previous year. Wouldn’t it be more effective if a business owner had access to this information every day of the week?

When I take on a consulting job, I usually dedicate 4 to 5 two-hour sessions to training the appropriate person in the organization how to use this program. The owner may not want to get as involved in the daily functions of data entry, preferring to leave that to a staff person, but at the very least it is extremely useful if the owner can at least be able to view basic reports whenever he chooses. It’s the first plan of action, as once accomplished, we can begin controlling and charting the progress of the business.

Information is critical for effective management. If you have QuickBooks, as many businesses do, you can probably learn how to use it more effectively. If you do not have it, get it, learn how to use it and then use it daily. Effective accounting is the first priority in controlling and growing your business safely and profitably. QuickBooks can provide that requirement cheaply and effectively.

    Great blog! I agree that businesses should have something in place to handle accounting functions. It’s amazing to me that Excel is still the “system” of choice for most businesses.

    Quick Books is a great starter accounting package. However, if you are serious about growth…look for a system that manages the entire business. Quick Books does not give you audit trail capabilities…reporting is limited as well. More importantly it is easy to delete transactions in Quick Books.

    A good small to mid-sized package for businesses is SAP Business One. Unlike it’s two sister systems which are more for the Fortune 500…SAP Business One is a business management system that fully integrates every part of any business. The key word with SAP Business One is SIMPLICITY. Simple to learn, simple to use, simple to teach.

    I spent years in the Microsoft world…they have good systems as well. I have not seen a simpler end-to-end business management tool than SAP Business One.

  2. thank you Brian for the heads up…I will check the program out and report back my evaluation…who knows maybe I can change my belief…I look forward to reviewing it.
    You ar correct about the limitations you suggested however at the level of need I typicaly experience…the need for basic control is the highest requirement. however lets see what Sap can provide for the small business.
